The Administrative Assistant will work closely with the Executive Director and members of the Charles B. Rangel Infrastructure Workforce Initiative team on administrative matters associated with delivery of the Initiative’s training program, including coordination of in-person classes and field visits; student recruitment, registration, and support services; alumni tracking; data and equipment inventory management; and program evaluation.
Responsibilities: They will be responsible for initiating contact with prospective students, managing the registration process, communicating with registered students before and during training periods, and following up with former students to evaluate their experience and track their career progress. For each training cohort, they will be responsible for overseeing all logistics necessary to deliver training, including coordination with the internal Rangel team and external instructors, managing technical equipment, printing handouts, ordering catering, providing support services for students, ensuring that every day runs smoothly, and, after the cohort ends, preparing a brief report.
The Administrative Assistant will be tasked with developing a data management plan for tracking prospective, current, and former students, as well as developing an inventory system for technical equipment. They may be called upon to offer administrative support to the finance manager in payroll, budget or purchasing matters, as well as other members of the Rangel team, as needs arise.
Qualifications: The ideal candidate has five (5) years of experience in an administrative role in a workforce development or academic setting, although candidates with administrative experience in other settings are encouraged to apply. Interest in urban infrastructure and/or workforce development is a plus.
Location: The Administrative Assistant will work in-person, Monday-Friday, generally 9 am – 5 pm, at the Rangel Initiative’s training facility in The City College of New York campus at 160 Convent Avenue, New York. Occasionally, they may be required to work on Saturdays and evenings (i.e., in place of respective weekdays) in order to oversee training offerings outside the typical weekday work hours.
Required: Bachelor’s degree and fluency in Microsoft Excel, Microsoft Word.
Additional preferred qualifications and skills: Website content editing, ability to operate in a dynamic work environment, to multitask, to interact with stakeholders, to adjust effectively to shifting priorities and deliver under deadline pressure on priority tasks.
Salary range (approximate): $44,000 to $60,000 commensurate to education, qualifications, and related experience.
